Welcome! Please read this privacy policy (“Privacy Policy“) carefully. "We", "our", "us", or "Cios" refer to Cios Technologies Inc. "You" refers to you, the reader.

This Privacy Policy describes how we collect, use, and disclose your personal information. We reserve the right to modify this Privacy Policy from time to time. If there are any changes to this Privacy Policy, you will be notified upon logging-in to the Platform. 

1. Definitions

In this Privacy Policy, capitalized terms have these meanings. Additional terms are defined throughout the Privacy Policy. These definitions apply specifically within the context of this Privacy Policy.

“Claim”: A request for coverage under a Coverage Policy.

“Coverage Policy”: A policy bought through the Platform detailing coverage, limits, and terms.

“Covered”: The person(s) benefiting from a Coverage Policy purchased via the Platform.

“Coverer”: The company underwriting your Coverage Policy, specified in the policy.

“Platform”: Cios' proprietary software on the Website for quotes, buying/managing Coverage Policies, and submitting Claims.

“Premium”: The fee for a Coverage Policy's coverage.

“Privacy Policy”: Our privacy policy at https://www.getcios.com/privacy-policy, subject to updates.

“Representatives”: Cios' employees, agents, and subcontractors.

“Third-Party Providers”: External parties providing services or functions as part of the Platform, not from Cios or Representatives.

“TOS”: The terms of service for the Platform, as amended from time to time, available at https://www.getcios.com/terms-of-service/.

“Website”: Cios' website at https://www.getcios.com/, including all future subdomains.

2. What Information We Collect and How it is Used

This section explains what personal information we collect on the Platform, and how we use and share it.

Account Information: We collect your name and email to create and manage your account. This includes verifying log-in details and sending account or Coverage Policy updates. We also use this information to determine Coverage Policy Premiums, process Coverage Policy purchases, handle Claims, and, if you agree, send you updates about our products and services.

Billing Information: For Coverage Policy payments, we need your credit card details and billing address. This information is used for processing payments. See "Secured Payments" for more details.

Underwriting Information: We collect specific information to assess your eligibility for different Coverage Policies and calculate Premiums. This information is also used for processing Coverage Policy applications and handling Claims.

Claims Information: When submitting a Claim, you'll provide details about the Claim, possibly including photos, videos, documents, geo-location, and your phone number. If you share others' personal information, you confirm you have their consent. We use this to process and communicate about your Claim.

Overall Use of Your Data: We use your Account, Billing, Underwriting, and Claims Information to prevent fraud, analyze data, and develop new products and services.

3. Security of Your Data

Cios is committed to protecting your privacy. We use standard industry practices to safeguard Your Data, including physical, electronic, and procedural measures. Only staff who need Your Data for business purposes can access it. We rely on third-party vendors for our hardware, software, networking, and storage needs. These vendors are chosen for their high security standards.

We'll use, disclose, or keep Your Data only as long as needed for its original purpose and as the law allows.

4. Gathering of Information for Statistical, Analytical, Monitoring and Security Purposes

Cios uses third-party analytics like Segment to collect anonymous information (Analytics Data) for understanding how you use our Website and Platform. This data, which doesn't personally identify you, includes your IP address, browser type, access times, and visited web pages.

We use Analytics Data to:

  • Understand user needs.
  • Track visits and page popularity.
  • Identify and fix bugs.
  • Develop improvements.
  • Prevent fraud and TOS violations.
  • Monitor Platform security.

Analytics Data might be shared with third-party analytics services for these purposes.

5. Cookies and Related Tracking Technologies

Cios uses “cookies” on our Website and Platform. Cookies are small files that save on your device to track usage and enhance your experience. We use "session cookies" to store information during your visit.

Cookies on our site are used for:

Cios generally does not share, sell, rent, trade, or license Your Data to third parties, except as stated in this Privacy Policy. Your Data is accessible only to authorized Cios employees, representatives, subcontractors, officers, and agents involved in managing the Website, Platform, Coverage Policies, or Claims adjudication.

Your Data may be shared in these situations:

  1. For legal reasons: In response to legal processes, to protect or exercise legal rights, or defend against legal claims.
  2. For safety and legality: To address illegal activities, fraud, safety threats, or TOS violations.
  3. For infrastructure integrity: To handle issues like spamming, denial of service attacks, or attempts to compromise Website or Platform security.

7. Secured Payments

Stripe, Inc. (“Stripe”) processes secured payments for Coverage Policy Premiums. Stripe uses your purchase data, including Billing Information, for payment processing, archival purposes, and to streamline future payments. This data helps validate purchases and prevent fraud. When using Stripe, you're under Stripe's privacy policy, which we recommend reading.

You can save your Billing Information for easier future purchases. While this info appears on your account page, it's stored on Stripe's servers, not Cios'. For repeat Premium payments, your browser retrieves this information from Stripe.

8. Risks Associated with the Internet and Wireless Data Transmission

Despite our best efforts, we can't guarantee total confidentiality and security for Your Data during internet or wireless transmissions. These communications can be intercepted, lost, or altered. You acknowledge and agree that Cios and our Representatives aren't liable for damages from transmitting confidential information, including Your Data, over these mediums. Such transmissions are at your own risk.

9. Transfer of Information Outside of Canada and the United States 

Your Data may be stored and processed in Canada, the United States, or other countries where Cios or Third-Party Providers operate. By using the Website or Platform, you consent to transferring your information to these countries. When Your Data is outside Canada or the United States, it falls under that country's laws and may be disclosed to its governments, courts, or law enforcement as per those laws.

10. Accessing and Updating Your Data

Cios strives to keep Your Data accurate and complete. Yet, it's your responsibility to update us with any changes.

You can request to review Your Data in writing. We'll provide it as legally required. If you find inaccuracies or incomplete information, and can prove it, we'll amend Your Data accordingly.

To access or correct Your Data, we might ask for identification, which we'll only use for this purpose.
